SHRM Associate Specialist, Onboarding & HR Processes in Alexandria, Virginia


The SHRM Human Resources Department is charged with exemplifying the organization’s Guiding Principles by providing service with a bold purpose, with excellence and accountability, flexibility and agility, while being smart and curious open collaborators. The Associate Specialist, Onboarding and HR Processes, is tasked with operational responsibilities which ensure the seamless and timely execution of internal HR process flows that result in the successful implementation of initiatives that reinforce and contribute to a strong, resilient, and high-performing organizational culture and positive employee experience. As a member of the HR team, this individual must exemplify the organization’s Guiding Principles, and ensure that interactions with the HR team are always of the highest quality.


Your Day:

  • Supports the Senior Specialist, Learning & Development, in ensuring that new employee orientation and the onboarding experience is seamless (coordinates logistics, etc.)

  • Serves as liaison to the Talent Acquisition Team in ensuring that the transactional components of the new employee onboarding experience are seamless, including, but not limited to, completing, processing, and auditing I-9 forms and the administration of e-Verify

  • Prepares employee action forms and correspondence related to new hires, transfers, promotions, assignment changes, and employment separations

  • Handles employee recognition and engagement activities, including, but not limited to, vendor identification and pre-screening

  • Handles logistics associated with the administration of SHRM’s engagement and training events and activities (including, but not limited to, scheduling rooms, collaborating with SHRM’s Administrative Services team for room and equipment set-up, etc.)

  • Supports the Executive Office in the implementation of employee engagement events

  • Supports the Manager, Employee Experience, as needed (preparing offboarding packets, performing post-separation tasks, etc.)

  • Manages compliance with federal and state employment law postings (physical and virtual) for SHRM headquarters and in all other states where SHRM has offices and/or employees

  • Supports process improvements

  • Processes reimbursements and invoice payments

  • Maintains inventory of supplies

  • Ensures compliance with SHRM’s records management policy

  • Provides other general support for the Human Resources team as needed including, but not limited to, maintaining the HR Reception Desk Coverage Schedule, ensuring its weekly completion and collaborative participation by all HR team members to provide Bold Purpose Customer Service to guests to the HR suite

  • Other projects and duties as assigned


Must Haves:

  • Associates Degree or equivalent ( i.e., two years of post-secondary education, training)

  • Five years of HR or closely related-work experience

  • Superior written, oral, and interpersonal communication (customer service) skills

  • Ability to think critically, independently, and exercise sound judgment

  • Ability to interact and work with a variety of individuals from diverse backgrounds at all levels of the organization

  • Exceptional attention to detail and accuracy with a commitment to excellence; an outstanding work ethic; and professionalism

  • Ability to conduct online research

  • Proficiency in Microsoft Office and Google Docs

  • High level of initiative and self-motivation

  • Highly organized and able to manage multiple tasks simultaneously

  • Ability to thrive, at times with ambiguity, in a fast-paced culture

  • Ability to pivot quickly in the face of competing priorities
